✅ Acceptance of Quotes & Orders
Upon acceptance of a quote or receipt of a purchase order, we will issue a pro forma invoice after a quick stock check and confirmation of lead times.
Advance payment is required for all orders before processing can begin.
Please verify that sizes, quantities, brands, and delivery address are correct before making payment.
⚠️ We process orders strictly based on the details provided on the sales order. Changes sent via email will not be accepted unless reflected on the official order.
Any changes after payment will require the order to be cancelled, credited, and re-invoiced, which may result in delays and handling fees.
❌ Order Cancellations
Orders over R5,000 (excl. VAT) cancelled before dispatch are subject to a 15% handling and admin fee.
If the order has already been collected, return courier fees will apply, and a handling fee of up to 30% may be charged.
📦 Order Processing & Lead Times
Orders are processed once proof of payment is received via email.
If all items are in stock, dispatch typically occurs within 72 hours.
If stock is sold out, we will notify you of the lead time and place the necessary backorders.
You will receive a dispatch notification and tax invoice once your order is shipped.
⏳ Estimated Lead Times by Brand:
Dromex: 3–7 working days if sizes are short
Pioneer: 3–5 working days, subject to availability
Other brands (Rebel, Wayne, Bova, Profit, LeMaitre, SISI, Frams, Kaliber, Corporate Wear): Availability-based — please confirm before payment
Manufactured items: Lead times will be clearly stated; delays may occur due to factory backlogs
🚚 Delivery & Courier Services
All orders are delivered via DPD Laser. We do not offer in-person collections for orders under R10,000.
Standard delivery takes 2–5 working days, with overnight options available for urgent orders (subject to stock).
You will receive a tracking number with your tax invoice. Track your parcel at:

For orders over R10,000, collection is available from our main depot in Meadowdale or Isando, depending on the items ordered.
ID and order number are required for collection. Orders not collected within 72 hours will be returned, and a 30% handling fee will apply.
Courier services are currently available within South Africa only. Multiple parcels may be sent depending on stock location and packaging logistics.
⚠️ ZDI is not liable for delays or incorrect deliveries if the delivery address or contact details on the sales order are incorrect.
🔒 Risk & Insurance
Once collected by the courier, ZDI is not liable for loss or damage in transit.
Transport insurance is available upon request for added protection.
💳 Payment & Pricing
All prices are exclusive of VAT unless otherwise stated.
EFT is the preferred payment method to avoid card transaction fees.
Prices are subject to change without prior notice due to supplier adjustments.
Quotes are valid until the stated expiry date; however, pro forma invoice pricing is valid for 2 days and may be updated without notice.
🔁 Returns & Exchanges
Returns are accepted only for incorrect or defective items, reported within 48 hours of delivery.
Items must be unused, in original packaging, and returned with prior authorization and a return reference number.
8. 📦 Product Information, Inspection & Returns
At Zani Distribution Industries (ZDI), we are committed to transparency and quality. The following terms clarify how we handle product descriptions, inspections, returns, and defective items to ensure a fair and professional experience for all our clients.
· 🎨 Product Representation & Content Disclosure
· Please note that product colors may vary slightly from images shown on our website, catalogues, or quotes. For example, “Lime” reflective clothing may appear as bright yellow.
· Occasionally, items may differ from the images or descriptions due to manufacturer updates or variations.
· While we strive for accuracy, errors may occur due to the volume of information. ZDI cannot be held liable for any decisions or costs based on incorrect or outdated content.
9. 🔍 Product Inspection Upon Delivery
· We strongly encourage customers to inspect all items upon delivery.
· If any items are damaged, missing, or incorrect, notify us within 72 hours and do not use the products.
· Please allow 24 hours for partial deliveries, as some orders may arrive in multiple parcels.
· All orders are thoroughly checked before dispatch. In the event of a dispute, we will review camera footage and consult the courier to verify delivery accuracy.
⚠️ ZDI cannot accept responsibility for shortages or damages reported after 72 hours.
· Once products are delivered, risk of loss or damage transfers to the customer unless caused by our negligence.
10. 🌍 Export & Third-Party Courier Responsibility
· ZDI does not cover costs for transporting goods outside South Africa or for returns from abroad.
· If using a third-party courier or freight forwarder, it is the customer’s responsibility to inspect and verify the order before export.
· ZDI is not liable for any mix-ups or losses once the goods are handed over to your chosen transport provider.
11. ⚙️ Machine-Manufactured Product Variations
· Machine-made products may have a slight count variation (up to 4%). For example, a pack of 50 pairs may contain 48.
· We will credit or refund for any missing items upon verification.
12. 🧰 Defective Products & Warranty
· If a product is used correctly and found to be defective, we will credit or replace the item after approval.
· If our supplier does not accept the return, ZDI cannot be held liable.
· Budget footwear may not last beyond 3 months in wet or harsh conditions and is not covered for extended durability.
· We do not offer any warranty on any garments or footwear.
13. 📏 Sizing & Special Orders
· Conti suit sets are sold by jacket size, with pants typically 2 sizes smaller (industry standard). Please confirm sizing before ordering.
· At ZDI, all footwear is packed based on UK sizing standards. If UK sizes are not provided at the time of order, our team may assist with size conversions; however, it remains the customer’s responsibility to ensure that the sizes ordered are correct.
· ⚠️ ZDI cannot be held liable for any sizing discrepancies resulting from incorrect or missing UK size information on the order.
Sizing could differ for various brands.
14. 🔁 Returns & Exchanges
· Returns of correctly supplied items must be made within 7 days and are subject to a handling fee of up to 30%, depending on the item’s returnable status.
· All returns must be in original, unused condition and approved by ZDI.
· Courier charges apply to all accepted returns.
· Card transaction fees will be deducted from refunds. We recommend EFT payments to avoid these charges.
· We strongly recommend that customers confirm sizing before placing an order to avoid delays, returns, or additional handling fees.
· Returns are not accepted for:
· Memory sticks or electronics
· Buy-out items (e.g., from Barron)
· Branded or specially taped workwear
· Special customer orders
· Budget footwear
· Discontinued or clearance items
· Items requiring assembly or consolidation
15. 🛡️ Final Responsibility
· ZDI acts as a distributor, not a manufacturer. While we work with reputable suppliers, we cannot guarantee product performance or quality beyond what is provided by the manufacturer.
· Clients are responsible for ensuring the correct product is selected. Specification sheets and samples are available upon request.
16.📦 Sample Policy, Returns & Deliveries
At Zani Distribution Industries (ZDI), we aim to make your purchasing experience as smooth and transparent as possible. The following policies outline how we handle samples, returns, deliveries, and payments to ensure fairness and efficiency for all parties.
17. 🔁 Return Process
To ensure a smooth return process, please follow these steps:
Step 1: Email us to initiate the return. You’ll receive a waybill number for collection.
⚠️ Loose items or poorly packed returns may be damaged in transit and will not be accepted.
Step 5: Evaluation takes 2–5 working days after receipt.
❗ If a return is rejected due to damaged packaging, the item will be returned to you, and both courier trips will be billed to your account.
⚠️ Important Return Conditions
· Returns must include all accessories. Missing items may result in partial credits or rejection.
· Do not drop off returns in person — all returns must be logged and tracked via our system.
· Handling fees of up to 30% apply to returns of correctly supplied goods.
· No priority is given to return requests. Please ensure you order the correct item.
· Refunds are processed within 7–14 working days after evaluation.
Please send your banking details once your credit note is issued. We do not follow up on return requests or banking details.
18. 🚚 Delivery Policy
· Orders are dispatched only after full payment is received.
· All prices are in South African Rands (ZAR) and include VAT. We do not offer VAT-free sales, even for cross-border orders.
· If items are backordered, the full order will be dispatched once all items are available.
· Once your order is handed over to DPD Laser, you will receive a tracking link.

· Please do not make payment on a quote. Always request a pro forma invoice before paying.

· If we are unable to supply an item, card transaction fees will be deducted from the refund.
